Description

The Semel Institute is seeking a full time Administrative Assistant II to provide administrative and clinical support to child division faculty, staff members and administrators. Major functions include: * Assisting clinicians with the coordination and support for professional services: * Appropriately enter patient information into the UCLA CareConnect electronic medical record, including insurance information and required medical consents. * Schedule new and follow up patient visits. * Check-in patients for assigned faculty and clinical services. * Print out AVS reports and assist with MyChart activation and monitoring. * Follow up with patient prescription requests, including obtaining prior authorizations for medications. * Assist with tracking of faculty open encounters. Assist with resolution of any issues. * Assist with patient messages sent in CareConnect and monitor assigned in-basket work ques. * General Administrative Assistance: * Serve as liaison between assigned faculty/staff and other personnel as requested or needed. * Coordinate and complete special detailed projects and reports as assigned, i.e. preparing PowerPoint slides/charts for presentations. * Type all correspondence, patient reports, court related reports, from rough drafts, dictation tapes or as orally directed in a timely manner. * Prepare agendas, take minutes, transcribe, edit and distribute as needed. Pay Range: $23.49 - $33.34 hourly.

Qualifications

* Knowledge of Microsoft Word, windows, Outlook e-mail and basic knowledge of PC applications * Experience in a medical setting support service role and experience with EPIC preferred * Ability to work with frequent interruptions * Ability to work independently and exercise appropriate decisions in determining follow-up action under emergent conditions Knowledge of basic psychiatric terminology to converse with physicians, clinicians, patients and public preferred * Ability to work with minimal supervision and complete assignments in a timely manner * Writing skills to complete patient information and business correspondence from general oral and/or written instruction as needed Demonstrate ability to work independently and to appropriately prioritize work * Skill in analyzing information, critical and emergency situations or procedures to: * define the problem or objective * identify relevant details or concerns * identify patterns, tendencies and relationships * formulate logical and objective conclusions * recognize alternatives and their implications * Skill in performing basic arithmetic operations such as adding and subtracting to determine financial eligibility or required deposits * Working knowledge of various departments, patient related policies and procedures, as well as a thorough understanding of the University system and it’s services and programs * Ability to interact appropriately and congenially with all staff, faculty, students, patients and the public at all times. * Ability to prepare charts, slides and overheads for presentations. * Ability to schedule patient and administrative appointments accurately. * Skill at prioritizing assignments and ability to work concurrently on several projects. * Ability to answer multiple phone lines and take accurate messages. * Capable of transcribing from tape or handwritten notes/reports. * Ability to transmit messages clearly and accurately, both orally and in writing. * Skill in establishing and maintaining organized filing systems. * Ability to maintain confidentiality. * Skill at coordinating meetings and campus services to meet the needs of the faculty/staff functions.
