General Summary

Monitors accuracy of transcribed reports and coordinates training and mentoring of new employees. Organizes and prioritizes workload which is made up of day-to-day activities and requests. Under general supervision and following established procedures, transcribes physician's dictation for placement in patient medical records. Uses and discloses patient prot! ected health information: 1) Only as it applies to job fun! ctions, 2) in amounts minimally necessary for intended purpose, and 3) in a confidential manner.

Principal Duties and Responsibilities

Answers questions and addresses issues for transcriptionists in regards to daily transcription duties. Orients (mentors) and trains new transcription employees. Performs quality reviews of transcribed reports to determine compliance with established performance standards. Performs duties of updating and/or correcting transcribed reports in all transcription applications along with coordinating changes with the Digital Voice Dictation system. Verifies information on surgery schedule with daily coordination with Surgery Department staff. Performs routine clerical duties such as answering the phone, sorting and distributing incoming office material and/or mail, answering questions for the general public, photocopying material and the like. Coordinates problem resolution of day-to-day activities including requests from various ! Health Information customers while helping to provide transcription services. Performs duties of a Transcriptionist including transcribing discharge summaries, history and physicals, operative reports, consultation reports and other reports dictated by physicians and other healthcare professionals for inclusion in patient medical records. Operates Digital Dictation System to monitor and complete daily physician dictation. Operates Transcriptor Program for typing in Microsoft Word and other transcription applications.

Ability to type and transcribe at acceptable levels of speed and accuracy on word processing equipment in order to transcribe reports for patient medical records. Ability! to read and write in order to understand and follow established proced! ures. Knowledge of transcription procedures, medical terminology, and computer system applications at a level normally attained through completion of approximately 12-18 months medical-clerical training beyond high school. Would consider 1-2 years-related experience in lieu of educational requirements. Knowledge of word processing and other computer system applications in order to resolve technical-related issues. Approximately six to nine months on-the-job training necessary to learn proper operation of transcription with other functions within the department, medical terminology, and hospital policies and procedures. Approximately one to two years progressively more responsible related work experience necessary in order to fully understand medical record procedures, transcription, and related information systems. Analytical skills necessary to organize and prioritize workload which is made up of day-to-day activities and requests from various Health Information customers ! and assist in problem resolution. Interpersonal skills necessary to assist in problem resolution and to communicate effectively with Health Information customers while helping to provide transcription services and being able to instruct and coordinate orientation of new employees. Ability to concentrate and pay close attention to detail for up to 70% of work time when monitoring accuracy of transcribed reports and verifying information on surgery schedule on a daily basis. Ability to wear earphone headset for dictation use up to 60% of work time.
